  • Hours per week: 37.5
  • Salary: £18,000 to £21,000 plus pension
  • Responsible to: Finance Manager                                         

The Administrator will be responsible for the maintenance of all their office systems at the two centres for our award winning social enterprises: Down to Earth Project and Down to Earth Construction.

Contract duration: Initially a 3 year contract. They are confident of offering a much longer career opportunity to the right person as they continue to grow and scale their approach across Wales.

Working hours and location: They expect the 37.5 hours to be worked between 8.30am to 4.30pm, 5 days a week. The position will be based mainly at their Murton site (SA3 3AP) with one or two days a week at their Cilibion site (SA3 1ED). Due to the relatively remote location and multiple venues, you’ll need to have access to a vehicle for the role.

Roles and responsibilities

There are 2 distinct parts to the job based on Accounts Administration and Team Administration:

Accounts Administration (40%)

  • Supporting the Finance Manager with financial tasks using Xero software. This will include processing both Sales and Purchase invoices and reconciling supplier accounts.
  • Setting up new suppliers, agreeing terms and credit limits
  • Credit control to ensure sales invoices are paid in line with agreed terms and liaising with external parties and colleagues to deal with any queries
  • Procurement of project equipment/materials
  • Recording and banking petty cash
  • Assist in capital and revenue grant claims and collating supporting documentation
  • HR related financial tasks including timesheet administration and annual leave, in liaison with Finance Manager.

Team Administration (60%)

  • Supporting the delivery and management team with all administrative tasks relating to all projects and maintaining project folders, project boards and records.
  • All office tasks such as answering the phone, managing enquiries, keeping office and training room environments well organised and efficient.
  • Managing booking systems and staffing systems including managing shared calendars within Office 365.
  • Database input and maintenance.
  • Digital inventory and stock control for the company
  • Maintaining training records and managing training/renewals for the team
  • Support of general site maintenance (for example fire alarm systems and checks), logistics and other team tasks.

The above applies across both Down to Earth Project and Down to Earth Construction and both venues.

Person specification

The ideal person will have both administrative and bookkeeping experience, be able to manage their time efficiently and be comfortable working both in a busy office environment and on their own. The ideal person will be flexible, pro active and prepared to take on a wide range of tasks including revising existing systems or designing new systems when a need is identified.

Down to Earth uses on-line platforms such as Office 365, Xero and Papertrail. In addition to being very comfortable with Excel, they would expect the ideal person to be at ease with using a range of digital/cloud platforms.

They believe in supporting their team to further develop their skill-sets - they are happy to offer training opportunities leading to a qualification such as AAT.

Desirable but not essential:

  • Familiarity with Xero (book keeping/accounting software)
  • Welsh speaker
